Who can submit a poster?
NCODA members and industry partners involved in oncology and hematology care or research are eligible to submit a poster. Encore presentations of previously presented work are also permitted, provided the content aligns with oncology and hematology care and/or research. All poster submissions must include a corresponding abstract that has been submitted to and approved by NCODA.

Who can author a poster?
Any NCODA member or industry partner.

What topics are acceptable?
Posters may cover any topic relevant to NCODA membership, including hematology, oncology, best practices in patient care, program initiatives, clinical research, and more. If your work supports oncology care or advances patient-centered practices, it’s welcome.

What topics can be submitted?
Posters may cover a variety of topics, including:

  • Case Report
  • Education/Training
  • Hot Topic
  • Original Research
  • Review

Examples include practice site management, patient education techniques, program initiatives and outcomes, drug research, and NCODA projects or implementations.

Do you accept Trial-in-Progress (TIP) or Encore posters?
Yes, with conditions. NCODA currently accepts TIP and Encore posters if they are:

  • Clearly identified as TIP or Encore during abstract and poster submission.
  • Labeled as such in the disclaimer on the poster itself.

Please note: Priority approval is given to posters that are not TIPs or Encores, as space is limited. If space permits, TIPs and Encores will be considered.

Do I need to submit an abstract?
Yes. An abstract submission is required for your poster to be considered and accepted.

Do I need to submit an abstract to have my poster featured during the poster reception?
Yes. A submitted and approved abstract is required for your poster to be featured during the poster session.

How does submission work?
All submissions undergo peer review by the NCODA Poster Committee. NCODA does not hold publishing rights to external abstracts or information. Our goal is to provide a platform for NCODA members to share and learn.

Is there a submission fee?
No. There is no fee to submit your poster.

I missed the submission deadline—can I still present my poster?
If you missed the deadline, you may be eligible for the B-roll poster option, which allows your poster to be showcased during the event on a continuous loop (without a designated presentation time). For more information about B-roll submissions or other options, please contact [email protected].

What is the format of the poster session?
Posters will be displayed digitally on 65″ TV screens—no printed posters are required.

How does the poster reception work?
Presenters will be assigned a designated time block to present their poster. During this time, you’ll stand by your poster to discuss your work and answer questions from attendees.

Who can present on behalf of the first author?
A co-author may present if the first author cannot attend. If a pharmaceutical company employee will present on behalf of the author, their name and company must be included during submission. The designated presenter must be registered for the 2025 Spring Forum.

Are handouts permitted?
Yes. You are welcome to bring handouts for attendees. However, NCODA does not cover the cost of printing.

Will I be given a complimentary registration, travel, and hotel if I present a poster?
NCODA members residing in North America with an accepted abstract will receive complimentary registration, travel, and hotel accommodations for one presenter to support the onsite poster presentation. Travel dates will be assigned by NCODA.

For group poster submissions involving multiple NCODA members, complimentary registration, travel, and hotel accommodations will be provided for one designated presenter only. Additional presenters must register separately once conference registration opens and follow the standard registration process.

Industry partners, please note that complimentary registration, airfare, and hotel accommodations for poster presenters are included as part of NCODA membership benefits. Enrollment and travel coordination will be managed through the partner registration process.

How should I format my poster?
Posters must follow the formatting guidelines outlined in the Poster Submission Guidebook. Key points include:

  • 16:9 ratio (1920×1080 px, 300 dpi)
  • PowerPoint (.pptx) or PDF format
  • Professional, high-contrast color schemes
  • Clear labels on graphs, charts, and visuals
  • For full details, please refer to the guidebook.

Am I required to use the NCODA poster template?
No. The NCODA poster template is not required. It is simply provided as a resource to help you get started. If you have an existing company or organization poster, you are welcome to use your own template.

Are posters published anywhere?
